Common Myths About EU Grants: What Applicants Often Get Wrong

The process of applying for grants from the European Commission (EC) can seem daunting, and a number of persistent myths often cloud applicants’ understanding. This article uses EC official guidance to expose and clarify some of the most common misconceptions. Our organisation, the European Institute for Strategic Development, supports applicants in navigating the real rules and avoiding myth‑based missteps.

Myth 1: “The EU budget will fund 100% of my project”

Many applicants mistakenly believe that if their project aligns with an EU call, the EU will cover the full cost. In fact, the EC states that grants are based on reimbursement of eligible costs and normally require beneficiary co‑financing (own contribution).
Getting this wrong can lead to budget short‑falls, ineligible cost claims or financial corrections later.

Myth 2: “It’s mainly for big organisations; small entities cannot apply”

Another frequent myth is that only large corporations or institutions can access EU funding. In practice, the EC’s guidance on eligibility emphasises a broad range of potential beneficiaries: citizens, organisations (non‑profit, for‑profit), public bodies, as long as they meet eligibility criteria.
Small and medium entities (SMEs), non‑governmental organisations (NGOs) and research groups routinely apply and win — the key is matching the call requirements.

Myth 3: “If I submit a good idea, the rest is automatic”

Some applicants assume that having an excellent project idea guarantees funding. But the EC clarifies that beyond the quality of content, the proposal must fulfil admissibility (correct form, deadline, required attachments) and eligibility criteria (legal status, eligible costs, correct applicant category) before evaluators assess the substantive quality.
If these procedural gates are not met, the proposal may be rejected on technical grounds before its merits are even considered.

Myth 4: “I can apply anytime; timing and partner‑composition are flexible”

There’s a belief that EU funding applications are flexible regarding submission timing, partners and geographic spread. By contrast, the EC emphasises adhering strictly to the call’s rules: deadlines, required forms/portals, minimum number or type of participants (in consortium calls) and designated countries.
Failing to meet these procedural or partner requirements can lead to ineligibility.

Myth 5: “Getting the grant means no more risks”

Finally, some assume that once the grant is awarded, everything is smooth and risk‑free. That’s incorrect. EC material explains that funds are associated with obligations: cost eligibility, reporting, audits, compliance with results and policy objectives. The budget must be used according to the rules; deviations may trigger corrections or clawbacks.
Effective post‑award management is just as crucial as winning the grant.
